The State of the Dataset
When we were brought in, the client's contact database was functional on the surface but unreliable underneath. Records had accumulated over time without a consistent verification process, leaving behind outdated emails, incorrectly spelled names, and social handles that no longer existed. For a team planning to run targeted marketing campaigns, this level of data noise was a real operational risk.
The problem was also structurally complex. Every record had its own set of issues — some needed email validation, others required company status checks, and several needed social media verification across different platforms. A single-pass approach would not work.
How We Approached the Work
Helion360 structured the project as a record-by-record audit. We moved through each entry methodically, applying the appropriate verification method based on what was present and what needed confirming.
Where email addresses failed basic validation, we traced alternative contact paths — checking company websites, professional directories, and platform profiles. For social handles, we confirmed that each account was active, correctly attributed, and matched the contact on record. Company entries were assessed for current operational status using recent web activity, directory listings, and business registry data.
Every update was logged with a supporting source, so the client had full transparency into what changed and why. This audit trail was as important as the corrections themselves.
What Was Delivered
The completed dataset was handed back clean, verified, and ready for use. Emails were corrected or clearly flagged, names were standardized to their accurate spellings, social profiles were updated, and companies were marked active or inactive with supporting evidence.
The work was completed within the projected timeframe. More importantly, the client's team could move into their next marketing cycle with confidence — knowing the contacts they were reaching out to were real, current, and correctly identified.
Data quality work rarely looks dramatic, but the downstream impact is significant. A clean dataset means fewer bounced emails, more accurate segmentation, and campaigns that actually reach the right people.
Working With Helion360
If your contact database has grown faster than it has been maintained, Helion360 is built for exactly this kind of structured, detail-intensive work. We take on data validation and enrichment projects that require both research depth and process discipline — and we deliver results your team can actually act on.
