When we stepped into this project, the client was building their digital marketing operation from the ground up. They had ambitions for targeted outreach and email campaigns, but their contact data was in poor shape — spread across multiple spreadsheets, filled with duplicates, and missing critical fields that any CRM-driven workflow would require.
The absence of a structured lead research process made the situation harder to resolve. New contacts were being added inconsistently, with no standard for what information to capture or how to verify it. Before any marketing work could move forward effectively, the data foundation had to be fixed.
How We Approached the Work
Helion360 started with a comprehensive audit of the existing database. We reviewed every record, flagged duplicates, identified gaps, and cross-referenced contacts against reliable external sources to confirm accuracy. Records that could not be verified were removed. Those that were valid were updated and standardized to match a consistent format across the CRM.
Once the existing data was clean, we moved into active lead research — sourcing new contacts that fit the client's target criteria and entering them directly into the system. We built a repeatable intake process so that every new contact met the same quality standard before being added. Regular data checks were scheduled to prevent the database from degrading over time.
We also set up a basic reporting structure so the client could track lead volume, data completeness, and campaign readiness without needing to dig through raw spreadsheets.
What the Work Produced
The client ended the engagement with a contact database that was accurate, complete, and ready to support real marketing activity. Duplicate and invalid entries had been cleared out, and verified contacts were properly formatted and loaded into the CRM with all relevant fields populated.
A steady flow of new, researched leads had been added throughout the project — giving the client a live pipeline rather than a static list. The reporting touchpoints we put in place made it easy to monitor data health on an ongoing basis.
