The Research Challenge
Understanding how freelancers actually spend their non-billable time is harder than it sounds. There is no shortage of opinions on the topic, but structured, segmented data — the kind that can support real business decisions — is rare. The client came to us with exactly that gap: they needed rigorous market research on the time, money, and effort freelancers invest in self-promotion, client administration, and lead generation.
The project had a defined scope and a firm one-month deadline. That combination required us to move quickly without sacrificing the methodological integrity that makes research findings trustworthy.
Our Research Approach
We designed a multi-method framework from the start. Survey instruments were built to capture quantitative data — hours per week, monthly spend, preferred platforms, and activity breakdowns by category. A parallel set of interview guides allowed us to collect qualitative context that raw numbers alone cannot provide.
Data collection ran across multiple freelancer segments, differentiated by discipline and experience level. This segmentation was deliberate. Averages across a broad population tend to flatten the most useful insights, so we structured the analysis to surface patterns within groups rather than just across them.
Helion360 handled the full analytical pipeline — from instrument design through data cleaning, cross-tabulation, and synthesis. Excel served as the primary analysis environment, keeping the process transparent and the outputs easy to hand off.
What the Data Showed
The findings were clear and, in several cases, surprising. Freelancers across categories were spending substantially more time on lead generation and self-promotion than conventional estimates account for. Client administration added another significant layer of non-billable overhead that most productivity frameworks simply ignore.
The segmented breakdown revealed meaningful differences between experience levels and freelancer types — differences that have real implications for any business designing tools, platforms, or services for this audience.
Delivered on Time, Ready to Use
The final deliverable was a structured executive-style research report with a clear narrative arc — methodology, findings, and recommendations — formatted so the client could reference or share it without further processing. Raw analysis files were included alongside the polished report.
The project closed on schedule with no revisions required. The client walked away with a research asset grounded in real data, ready to inform product and go-to-market decisions.
