Understanding how enterprise software gets purchased is harder than it sounds. The decision-making process is layered, political, and highly context-dependent. Our client needed direct access to IT directors — practitioners who had personally guided software procurement from budget approval through vendor selection — to map how these decisions actually unfold inside organizations.
Secondary research was not enough. The client needed first-person accounts, and that meant designing a research process capable of reaching the right people and drawing out meaningful insight within a short, structured window.
How We Structured the Engagement
Helion360 treated this as a qualitative research project with clear methodological standards. We focused on identifying IT directors with demonstrated involvement in software procurement — not peripheral stakeholders, but people who had been in the room when purchasing decisions were made.
To make the sessions work, we built a discussion framework tight enough to stay focused but open enough to let real experiences surface. Each conversation ran approximately 30 minutes. Participants were not asked to prepare anything in advance, which reduced friction and made it easier to secure their time. The questions were sequenced to move naturally from role context into procurement specifics — vendor evaluation, internal approval chains, selection criteria, and points of friction.
What the Research Revealed
The sessions produced detailed, comparable accounts of how software procurement works at the practitioner level. We learned how IT directors identify and shortlist vendors, what internal pressures shape their timelines, and what causes deals to stall or move forward. The findings cut through the abstraction that typically surrounds enterprise buying behavior and grounded the research in actual experience.
