The Research Challenge
Building a usable business database sounds straightforward until you actually start doing it. South Florida's HVAC, HOA, and property management sectors each operate through different registries, licensing systems, and online platforms — and the data available across those sources is rarely consistent or current.
The client needed more than a list. They needed a verified, segmented contact database they could hand off directly to a sales or outreach team without spending additional hours cleaning or validating records. That meant every entry had to be checked, cross-referenced, and confirmed before it made the final cut.
How We Structured the Work
Helion360 treated this as a multi-track research project from the start. Rather than running a single broad search across all three categories, we separated the work by segment — HVAC contractors, HOAs, and property management firms — and applied the most relevant sources to each.
For HVAC contractors, that meant pulling from Florida DBPR licensing records and verifying each business against Google Business profiles and trade directories. For HOAs and property management firms, we worked through county property records, community association registries, and regional business databases. Each source was used to confirm, not just collect.
Every record that made it into the final dataset had been reviewed for completeness. Entries with missing or conflicting information were either resolved through additional research or excluded entirely. The result was a clean, structured spreadsheet — segmented by category and geographic area within South Florida — with no filler entries.
What We Delivered
The final database included more than 150 verified records across all three categories, exceeding the original scope of 50 per category while holding the same standard for data quality throughout. Each record captured the business name, address, phone number, and website, with geographic tags to support prioritized outreach by county.
The file was delivered on schedule and required no additional formatting or cleanup on the client's end. It was structured to slot directly into a project management dashboard or outreach workflow — exactly the kind of ready-to-use output that makes downstream work faster and more reliable.
