Why Prepress Work Is Harder Than Most Designers Expect
There is a persistent gap between what looks good on a screen and what prints correctly on press. Designers who work primarily in digital environments often underestimate how much specialized knowledge sits between a finished layout and a clean, press-ready file. The stakes are real: a missed bleed, an RGB image buried inside a CMYK build, or an incorrect color separation can result in reprints, press downtime, or a client delivery that does not match approved proofs.
Prepress and mockup work for a printing company is not simply graphic design with a different output. It is a structured technical workflow with its own vocabulary, its own file standards, and its own quality checkpoints. The work covers everything from initial art preparation through color profiling, soft proofing, plate-ready output, and physical or digital mockup presentation. Done well, it protects the client from costly press errors and gives the production team a reliable, predictable file to work from. Done poorly, it creates a chain of small problems that compound all the way to the pressroom.
What Professional Prepress Work Actually Requires
At its core, prepress work for printed collateral — brochures, posters, promotional materials — requires several things that are distinct from ordinary graphic design practice.
First, all artwork must be built and delivered in CMYK color mode, not RGB. Screen-based design tools default to RGB, which has a wider gamut than most offset or digital presses can reproduce. Converting late in the process rather than building in CMYK from the start frequently introduces color shift, especially in saturated blues, deep purples, and rich blacks.
Second, every file needs proper bleed and safe zone margins. The standard for most commercial print work is a 3mm bleed on all four sides for smaller formats and up to 5mm for larger formats like A1 or A0 posters. Safe zones for live content typically sit 5mm inside the trim line. Missing either creates crops that cut into critical design elements.
Third, high-resolution vector files are the professional standard for logos, type, and line art. Raster elements embedded in the artwork should be a minimum of 300 DPI at final print size — 600 DPI for fine line work or very small type. Anything below that threshold shows visible degradation in print even when it looks fine on screen.
Fourth, color separation sheets and a final CMYK proof are not optional finishing steps — they are the accountability layer. They confirm that what the designer approved matches what the press will actually produce.
How to Approach the Work: File Prep, Proofing, and Mockup Execution
Building the File Correctly from the Start
The right approach starts at document setup, not at the end of the design process. In Adobe InDesign — the standard application for multi-page and complex print collateral — the document should be created with the correct bleed settings, trim dimensions, and color profile assigned from the moment the file is opened. Using the FOGRA39 profile for European offset printing or SWOP v2 for US sheetfed offset is the typical starting point. These profiles define the ink density limits and dot gain compensation the press expects.
For a product brochure design project, for example, a typical document setup might be: 210 x 297mm trim size, 3mm bleed on all sides, facing pages enabled, baseline grid set to 12pt, and the document color mode set to CMYK with black ink capped at 300% total ink coverage to prevent over-inking on press. Rich black for large text blocks and backgrounds typically follows the 60-40-40-100 formula (60% Cyan, 40% Magenta, 40% Yellow, 100% Black) rather than 100K alone, which can appear washed out at large sizes.
Vector Files and Image Management
Every logo and piece of brand artwork should come in as a native vector file — an AI or EPS — or be placed as a linked PDF with embedded fonts outlined. Packaging these as links rather than embedded objects keeps file sizes manageable and makes last-minute substitutions easier when a client updates a logo version. For a poster project at A1 size, placed raster photography should be supplied at 300 DPI at 100% print size. At A1 (594 x 841mm), that means sourcing images at roughly 7,000 x 9,900 pixels minimum — stock image downloads at "large" or "extra large" resolution typically satisfy this threshold, but it is worth confirming before the design is built around an image that cannot hold up at scale.
Color Separation and CMYK Proofing
Color separation in a prepress context means verifying that each ink channel — Cyan, Magenta, Yellow, and Black — carries only the information it should. In Acrobat Pro's Output Preview panel, viewing each separation channel individually reveals problems that are invisible in composite view: a spot color that was not converted, a black text element that accidentally pulls all four channels, or an image that was placed as RGB and never converted. Each of these is a press problem waiting to happen.
The final CMYK proof is ideally a contract proof — printed on a calibrated proofer using the same ICC profile as the intended press — rather than a standard office laser print. A contract proof represents a legal commitment between the designer and the printer about expected output. For a promotional piece where brand color accuracy is critical, this step is non-negotiable. Many printing companies accept soft proofs (on-screen PDF proofs viewed on a calibrated, hardware-profiled monitor) as an alternative for lower-stakes projects, but physical proofs remain the standard for premium work.
Mockup Presentation for Client Sign-Off
For presenting designs before print, a digital mockup serves as the client-facing proof of concept. The standard practice is to use a high-resolution smart object mockup template — typically a PSD file with embedded smart objects at 3,000 x 2,000px or higher — where the finished artwork is placed and the template applies realistic shadows, perspective, and surface texture automatically. For a trifold brochure mockup, the artwork panels need to be mapped separately to each face of the folded mockup, respecting the fold lines. Misaligning the panel mapping is a common error that makes the mockup look implausible and confuses client review.
Common Pitfalls That Undermine Print-Ready Work
One of the most frequent problems is designing entirely in screen color mode and converting to CMYK only at export. Late-stage conversion shifts colors unpredictably, particularly in gradients and brand-specific Pantone colors. The correction is to build in CMYK from the first document setup.
Another persistent issue is font management. Fonts that are active on the designer's machine but not embedded or outlined in the exported PDF will either substitute or cause a preflight error at the print shop. The correct practice is to outline all fonts before the final PDF export, or confirm that the PDF export settings use the "embed all fonts" option under the PDF/X-1a or PDF/X-4 standard.
Underestimating the time required for preflight is also a trap. Running a proper Acrobat preflight check against a print-specific profile — not just a visual scan of the file — takes time and often surfaces multiple rounds of correction. Projects with three separate deliverables, each requiring separation sheets and a proof, should budget for at least one full revision cycle per file.
Building every project as a one-off rather than using a structured template system also creates compounding inconsistencies. When three separate projects share a client's brand, maintaining a master library of placed logo files, approved color swatches, and paragraph styles across all three ensures that color drift and font inconsistencies do not creep in between files.
Finally, self-reviewing files late at night after hours of active design work is genuinely unreliable. Color perception degrades with fatigue, and errors that would be obvious with fresh eyes become invisible. Building in a mandatory rest period before final preflight review is a practical standard, not a luxury.
What to Remember Before Sending Files to Press
Prepress work is methodical by nature. The discipline of checking each file against a defined standard — bleed, resolution, color mode, ink coverage, separation integrity, font embedding — is what separates work that prints cleanly from work that creates expensive press problems. The mockup step matters too: it is the client's last clear opportunity to identify problems before ink hits paper.
