Why A4 Print Formatting Is Harder Than It Looks
There is a specific kind of frustration that comes from finishing a beautifully designed InDesign document, sending it to a print shop, and getting back something that looks nothing like what you built on screen. The margins are off. A photo clips at the edge. The body text prints slightly smaller than expected. These are not random failures — they are the predictable result of skipping or mishandling the technical setup that print-ready A4 work demands.
The stakes are real whenever a document is going to a professional printer. A pitch document, a clinical brochure, a product lookbook — whatever the end use, the gap between a screen-polished draft and a correctly formatted print file can cost time, money, and credibility. Print production has hard requirements that screen design does not: bleed, slug, trim marks, CMYK color profiles, embedded fonts, and flattened transparency. Getting those right before the file leaves your hands is the entire job.
The good news is that InDesign was built for exactly this kind of work. The bad news is that its power is only useful when you understand what settings to configure and why.
What Proper A4 Print Formatting Actually Requires
Formatting an A4 document for print is not just a matter of setting the page size to 210 × 297 mm and filling in content. Four things separate a properly prepared file from one that will cause problems at the printer.
First, the document must be set up with the correct bleed and slug from the very beginning — not added later. Trying to retrofit bleed onto a finished layout is painful and error-prone. Second, all color must be managed intentionally: RGB assets pulled from screen sources need to be converted or replaced with CMYK equivalents, and the document color profile needs to match the press profile the printer expects. Third, typography needs to be defined at print-appropriate sizes with proper leading and tracking — what reads well at 72 dpi on screen often needs adjustment when rendered at 300 dpi on paper. Fourth, the export to PDF/X must be configured correctly, not just clicked through with default settings.
Each of these is a distinct technical discipline. Done well, they become a repeatable setup checklist. Done hastily, any one of them can invalidate an otherwise finished document.
How to Approach the Setup, Layout, and Export
Document Setup: Bleed, Margins, and Grid
The right starting point for any A4 print document in InDesign is the New Document dialog, configured before a single frame is placed. The page size should be set to 210 × 297 mm (ISO A4). Bleed on all four sides should be set to 3 mm — this is the standard minimum for most commercial print shops, though some request 5 mm, so confirming with the printer before setup saves a painful rebuild. The slug, used for printer marks and job information, can be set to 6 mm on the outside edges.
Margins deserve careful thought. A common working setup for a clean, professional A4 layout uses a 15 mm top margin, 20 mm bottom margin, and 12 mm inside and outside margins — slightly asymmetric to account for binding if the document is saddle-stitched. The baseline grid should be set to 12 pt increments, which aligns cleanly with the most common body text size of 10 pt or 11 pt with 14–15 pt leading.
For multi-column layouts — a common requirement in brochures or presentation documents — a 12-column grid at the document level gives maximum flexibility. A two-column text layout uses columns 1–5 and 7–12, leaving column 6 as a gutter. A three-column layout divides into columns 1–4, 5–8, and 9–12. Locking frames to the grid from the start prevents the alignment drift that appears when columns are eyeballed rather than measured.
Typography Hierarchy for Print
Screen-optimized typography rarely translates directly to print without adjustment. A workable hierarchy for an A4 presentation document uses 28–32 pt for section headers, 18–20 pt for subheadings, 10–11 pt for body text, and 8 pt for captions and footnotes. Leading for body text should be set to approximately 140% of the font size — so 11 pt body text gets 15.4 pt leading, typically rounded to 15.5 pt for clean baseline grid alignment.
Tracking on headlines benefits from slight tightening: –10 to –20 tracking units on display text at 28 pt and above creates a more intentional, professional feel than the default 0. Body text tracking should remain at 0 or a very subtle +5 to improve readability on uncoated stock.
Embedding is handled automatically at PDF export, but the document should use fonts that are licensed for commercial print embedding. This is an easy detail to overlook when sourcing a typeface quickly.
Color Mode and Image Resolution
Every image placed in the document for print output should be 300 dpi at the size it will appear on the page. An image that is 72 dpi from a website source will print visibly soft — even if it looks sharp on screen at 100% zoom in InDesign. The Links panel is the right place to audit this: sort by Effective PPI and flag anything below 300.
The document color mode should be set to CMYK from the start via Edit > Color Settings. Any RGB images placed into the document should be converted using Edit > Convert to Profile before export, or flagged for the printer to handle. For output profiles, ISO Coated v2 300% (ECI) is the most widely accepted CMYK profile for European commercial print; SWOP v2 is the North American equivalent.
Export to PDF/X
The export step is where formatting mistakes become irreversible. The correct preset for most commercial print jobs is PDF/X-4, which supports transparency without flattening and is compatible with modern RIP workflows. The Marks and Bleeds tab in the export dialog must have Crop Marks and Bleed Marks checked, with Use Document Bleed Settings enabled. If the printer has provided a custom joboptions file, that file overrides all manual settings and should be used.
Outputting a soft proof before sending the file — using View > Proof Colors with the target press profile active — catches significant color shifts before they reach the printer.
What Goes Wrong When This Work Is Rushed
The most common single mistake is starting layout work before the document is properly set up. When bleed is added after the fact, every frame that extends to the page edge needs to be manually extended by 3 mm — a tedious, error-prone correction on a document with dozens of placed images.
The second common failure is ignoring the Links panel until the document is finished. A layout built quickly from screen-sourced images will often contain 15–20 low-resolution files that look fine on screen but will print softly. Discovering this at export, rather than at placement, means sourcing or re-exporting every affected image under deadline pressure.
Color inconsistency is the third major pitfall. RGB and CMYK elements mixed in the same document without a deliberate conversion strategy produce unpredictable results on press. A brand's primary blue that looks correct in sRGB will often print duller or with a slight hue shift in CMYK unless the conversion is managed explicitly.
Typography drift is subtler but equally damaging. When styles are not locked to a paragraph style sheet from the beginning, manual overrides accumulate across sections. By the time the document is 20 pages long, body text in section three may be 10.5 pt while section one is 11 pt — an inconsistency invisible in isolation but visible when pages are compared side by side.
Finally, exporting with the wrong PDF preset — particularly using the default High Quality Print preset instead of PDF/X-4 — can produce a file that opens correctly in Acrobat but fails at the RIP stage, requiring a resend and a production delay.
