The Challenge
A conference organizer came to us with a tight two-week window and a clear but demanding brief: design a complete suite of printed event materials that would feel cohesive, professional, and instantly recognizable across every touchpoint at the venue. The deliverables spanned three distinct formats — an A5 conference program booklet featuring the full schedule, speaker bios, and contact information; a reusable name badge template for attendee identification; and a table tent card that could be printed and distributed across the event floor. Each format carried its own layout constraints, print specifications, and functional requirements, yet all three needed to feel like they belonged to the same visual world. Achieving that consistency under deadline pressure, while honoring the client's existing brand guidelines, made this a genuinely complex print design challenge.
Our Approach
Helion360 began by conducting a thorough review of the client's brand guidelines — color palette, typography, logo usage rules, and tone — to establish a visual foundation that would translate cleanly across all three formats. The A5 program was treated as the anchor piece, with a structured layout that prioritized readability and logical flow: event schedule, speaker profiles, and contact details were each given dedicated sections with clear hierarchy and ample white space to avoid visual clutter on a compact page size. Once the program direction was approved, the name badge template and table tent card were developed as natural extensions of the same design language, adapted for their respective dimensions and use cases. Print-readiness was a priority throughout — bleed margins, CMYK color profiles, and high-resolution assets were set up from the start to ensure the files would go to press without rework.
The Outcome
All three deliverables — the A5 conference program, the name badge template, and the table tent card — were completed and approved within the two-week timeline. The final package gave the client a print-ready suite of event materials that could be sent directly to their printer with no further adjustments. The program booklet presented the event schedule and speaker information in a clear, visually engaging format that attendees could reference throughout the day. The name badges and table tents reinforced brand visibility at every physical touchpoint across the venue. The client received both editable source files and print-ready PDFs, making it straightforward to update the templates for future events.
